Renewing a residence card in Poland: timeline, documents and the most common mistake

Renewing a residence card (karta pobytu) in Poland is not about filling in a form but about managing a calendar. When to start, how applications work since 2026 (MOS), what rights you have after filing, which you don't, and why so many people end up in the last week.

The hard part of renewing a residence card is not the paperwork. The document list is known and can be gathered in an afternoon. The hard part is that the process takes months and the last day you can file is the day your card expires. Everyone who fails to think about both at once ends up in the same place: the last week, an electronic signature that isn't set up, a file with a document missing.

Short answer: The renewal application must be signed and submitted in the MOS system no later than the last day of your current card's validity, that day included; paper applications have not been accepted since 27 April 2026. An application filed on time makes your stay legal until the decision; instead of a passport stamp you download a certificate from the system, and that certificate does not allow travel within Schengen. Start at least three months before the card expires.

The calendar: count backwards

The application must be filed before your current card expires, at the latest on the last day. An application filed after that is not a renewal; your right to stay ends that day and the situation turns into a different procedure. So the card's expiry date is not a target but a hard deadline.

Filing on time and completely brings a big benefit: until the decision becomes final, your stay in Poland counts as legal, even if the office exceeds its statutory deadline. One day late removes that protection entirely.

Count backwards. Some documents — letters from the employer, insurance records, proof of income and housing — have to be requested from other institutions, which answer in their own time. If a document is coming from Turkey, add the apostille and a sworn translation. The trusted profile (profil zaufany) or e-ID needed for the electronic signature is a working day of its own if not set up earlier. In practice the safe start is at least three months before the card expires; earlier if your documents come from Turkey.

Applications are now electronic: MOS

This is the biggest change of 2026. Since 27 April 2026, applications for temporary residence, permanent residence and EU long-term residence are filed only through the Office for Foreigners' MOS system (Moduł Obsługi Spraw); paper applications posted after that date are not processed. The rules you need to know:

  • The account is opened by the foreigner in person, logging in through login.gov.pl; a proxy cannot open it. We can sit next to you, but you do the clicking.
  • The application counts as filed only when it is signed electronically (trusted profile, e-ID or qualified signature) and the system issues its receipt (UPO). A saved but unsigned application is not an application.
  • A submitted application cannot be edited in the system; corrections are filed separately. So every field is checked before sending.
  • The voivode calls you to an in-person appointment for fingerprints, a signature specimen and the original passport; anything missing is completed at that appointment.
  • Some application types are still outside MOS (for example intra-corporate transfers and family reunification for a family member abroad); we clarify the right route before filing.

The stamp is gone, the certificate is here

Previously, once the application was accepted, a stamp was placed in your passport. Now, when the office approves your application, you download a zaświadczenie (certificate of filing) from MOS; it is free of stamp duty, and the authorities that check legality of stay see your application in the system. Those who already have a stamp keep its validity.

Don't confuse two things: the UPO is only a "sent" receipt, while the zaświadczenie is the document showing your stay is legal. And what the certificate does not do matters too: it does not give the right to travel within Schengen. If you leave Poland, coming back depends on a visa. Since a decision can take months, plan your filing date around your travel plans as well.

Documents: they depend on the purpose

The documents required for renewal depend on the purpose of your residence. For work-based residence, the employer's documents and insurance records; for company ownership, the company's financial standing and proof of activity; for family reunification, the family's status and proof of living together; for studies, school documents and proof of means. Common to all: a valid passport, photographs, health insurance, proof of accommodation and the application form itself.

If your purpose has changed — you came as an employee and now continue with your own company — this is not a renewal but a new application; documents and assessment change. If only your employer changed and the purpose is still work, there is a route to amend the existing permit; that requires notifying the end of employment within 15 working days. Which case is yours must be settled before filing, not after.

The most common mistake

The mistake we see most in card renewals is not a missing document but not seeing the request for a missing document. If the office finds a gap in your application, it sends a request with a deadline; that request now mostly arrives through MOS. The notification goes unseen, the deadline passes, the application is dropped. And the card has expired in the meantime. That is why we covered letters from authorities in a separate article: the most fragile point of a renewal is the correspondence after filing.

The second common mistake is not collecting the card. When the decision is positive, the card is printed and you are told it is ready; a card not collected within 60 days of that notice is cancelled and the permit lapses. Don't relax because the decision arrived; the process is not over until the card is in your hand.

Frequently asked

My card has expired and I'm still in Poland. What now?

If your card has expired, your legal stay may have ended that day: an application filed after expiry is not a renewal but a new and urgent situation. Write today; we assess it with the immigration or lawyer partner and reply in writing within one business day. The authority decides.

Can I keep working after filing?

With the same employer, on the same terms and with an application filed on time, the scope of the previous permit continues as a general rule. If the employer or the terms changed, an amendment or a new application comes first; we settle that together with the employer.

How long does it take?

We don't quote a fixed duration; it depends on the city, the volume of applications at the time and how complete your file is, and it can take months. The only things that shorten it are a complete file from day one and a timely reply to every letter.

How we run it

We build a calendar backwards from your card's expiry date, prepare the document list for your purpose, chase the letters needed from institutions, make sure your electronic signature is ready, sit with you for the MOS filing, and track the fingerprint appointment and the card collection. Every letter after filing we explain in Turkish and make sure it is answered on time. We run the application together with our immigration partner; the authority decides, we make sure the process does not slip.
